Introduction

In the different organizations, being these small, medium, and even large companies, they have at their disposal a series of resources, without these, they could not persist, such as people, raw materials, etc. Carry out the process of administrative practices for the management of resources of vital importance, since in this way adequate management of these is guaranteed.

With good administration and management of resources, companies or organizations will be able to achieve the objectives and goals that are set every day, all to increase and provide the best services to the public. It is worth mentioning that to have an efficient task not only implies delivering products or services promptly, as well as with quality characteristics but the result of the processes that were carried out must be obtained with a minimum of resources.

In the following research work, the topic of resource optimization will be addressed, where it will be announced what this method consists of, among other characteristics.

Resource Optimization

Optimization

The word optimization is used for a task to be carried out quickly. Said optimization is performed concerning one or more resources.

Resources

It is everything productive, and necessary to carry out an activity, for example: labor, equipment, and tools.

Then we can define resource optimization as one of the best ways to perform an activity with the help of using the minimum resources. That will have as an objective, to treat and adapt the available resources, to ensure correct use of the resource as well as improve its effectiveness.3

For this, a methodology must be taken into account, such as:

  • Determine the objectives
  • Analyze needs and prioritize
  • define the activities
  • Define the tools to use

For this process to obtain

  • The increase in productivity
  • Improve customer service
  • Flexibility to match resources around the job
  • Level the demand in the different service areas
  • Reduce costs

The optimization of resources has to do mainly with efficiency, that is to say, that resources are used in the best possible way, in which it is expected to obtain greater benefits with minimum costs. Both efficiency and effectiveness are very important since they are related as well as emphasizing results, objectives as well as the creation of values. Therefore, to optimize resources, it must not only be efficient but also effective.

Optimization of resources in food services

In the case of an establishment with food services, purchasing resources could be optimized, for example: where purchases, suppliers, and the possible negotiation with them are analyzed, to develop a purchasing strategy adapted to the needs.

Among the points that can be considered in the optimization of purchases are, for example:

  • Creation and analysis of indicators: where indicators will be created about your purchases, sales, etc., to discover possible improvements.
  • Delivery times: delivery times will be negotiated with suppliers to better adapt to production and improve profitability.
  • Negotiate prices, payment methods, and amounts with suppliers.
  • Computerization of purchases: the most appropriate applications will be sought.
  • Define the real needs and seek to obtain the best option in terms of quality, need, and price.

In organizations and/or companies, it is highlighted that one of the most precious resources is time, which is intangible and manageable, highlighting that it is limited and irrecoverable, for this reason, it is essential to keep in mind the conditions that allow its optimization.

Companies that provide food services, seek to maintain a continuous improvement of their resources and processes, as well as manage their services with quality.

ISO 9001:2000 standard

Indicates that an organization or company must provide the necessary resources to:

  • Implement and maintain a Quality Management System and continuously improve effectiveness.
  • As well as increase customer satisfaction.

In terms of resources, the standard refers to the people who are trained to carry out the work, as well as the appropriate buildings and land, equipment and machines, consumable raw materials and spare parts, suppliers, etc. All of these need to be managed effectively.

Resources to consider

Information

It is pointed out that the information must be treated as a resource, which must be used as an instrument for the improvement process and decision-making.

How to properly manage the information?

To properly manage the information, the following must be taken into account:

  • Determine the information needs of the organization.
  • Identify and access sources of information, both internal and external.
  • Convert information into useful knowledge.
  • Use information, data, and knowledge to meet strategies and objectives.

The relationship with suppliers

The management is in charge of optimizing the number of suppliers, as well as maintaining a good relationship that allows for establishing communication and also solving problems quickly and efficiently. 6

A continuous review of the activities that are carried out by the suppliers must also be carried out, guiding them towards continuous improvement, evaluating, recognizing, and rewarding their efforts and achievements. 6

Natural resources

Organizations must keep natural resources in mind as these can also affect the results.

Financial resources

The control of this, as well as the administration, must be managed by the management to achieve the objectives that have been proposed.

Human Resources

Human resources are one of the most important resources that organizations have since the proper functioning of the management system depends to a large extent on these. It should be noted that those who have adequate training and who are capable of adapting to the tasks assigned to them as well as the rest of the members that are part of the organization must be selected.

Whether the staff of a company or organization is considered fit to carry out a certain activity in their work depends on three factors:

  • Appropriate selection for each of the activities carried out in it.
  • Have the necessary training in the characteristics that are carried out in it.
  • As well as receiving sufficient motivation so that it reflects it in the design of his work.

Optimization of business resources

Optimization in this case refers to providing companies with the best way to use their resources to achieve what they want.

In the business environment, the following resources are considered; In addition to human resources, there are:

Economic Resources.- It is the means that allows solving unforeseen events that may arise in commercial or productive activity.

Financial Resources.- Refers to the circulation of money, assets, and assets and is made up of bank balances, cash on hand, bank deposits, stocks, bonds, etc. 7

Technological Resources.- These can be tangible (such as hardware) and intangible (such as software). They help to develop the daily operations of production, as well as marketing and communication.

Material Resources.- These are tangible resources such as land, machinery, facilities, and raw materials.

Optimize in different areas

To optimize is to carry out better management of resources based on the objective.

Optimize in administration

Optimization is focused on improving work processes, increasing performance and productivity.

Optimize in economy

Optimization in this area refers to the process by which human beings tend to seek ways to obtain the highest possible performance using the least amount of resources or reducing costs.

Optimize in IT

In the environment of information technology and technology, optimization is the process in which the efficiency and speed concerning the operation of a computer system is improved.

Optimize in Mathematics

It is the operation in which it is established which, among a set of elements, is the best available.

Optimization of financial resources

The optimization of resources is mainly based on achieving financial objectives that are oriented to provide economic security at the moment, but also in the future.

Conclusion

As has been commented during the development of this work, taking into account the optimization of resources is of vital importance for different institutions or organizations, since with this, unnecessary losses of resources that can affect compliance with the objectives can be reduced. objectives that said organization or institution has set itself.

Since the purpose of the institutions is to provide a better service and obtain profits from it, the optimization of resources should be considered since, as we have previously mentioned, having an efficient task not only implies delivering products or services promptly with the quality characteristics but the result of the processes that were carried out must be obtained with a minimum of resources.
